Contract Administration Analyst

BASIC PURPOSE: This position validates new third-party trades, upon execution, with the contracting party and broker.         

 

MAJOR RESPONSIBILITIES:

  • Timely generation and distribution of trade confirmations and contracts to relevant parties
  • Interact regularly with brokers, counterparties, and the commercial group to resolve any contracts of confirmation issues as they occur
  • Evaluate incoming counterparty confirmations for accuracy and review contract language with the legal department as necessary
  • Daily reconciliation of new trades, including key trade terms and any brokerage of customs fees, and work with Commercial to correct any errors – particularly invalid brokerage or transportation fees attached to core trade
  • Timely and thorough collection of data and written responses to audit requests
  • Work with all departments to ensure all contract information is up to date (amendments, revisions and expiration of contracts, General Terms and Conditions language)
  • Thorough review of every confirmation for commercial terms (Buyer, Seller, price, quantity, product, terms and delivery location and timing) to ensure documentation and system setups are complete and accurate
  • Timely review and settlement of brokerage confirmations and invoices and coordinate with back office on open settlement issues and account reconciliation support
  • Coordination of document capture and indexing of comfirmations and broker documents (in APWorkflow and Transflo)
  • Other duties assigned as needed

 

EDUCATION AND EXPERIENCE:

  • Education:
      • Bachelor’s Degree in business related field or equivalent work experience preferred
  • Experience:
      • Experience in the energy industry preferred

 

SKILLS AND PHYSICAL DEMANDS:

  • Skills:
    • Hard Skills:  Proficient knowledge of Microsoft Office
    • Soft Skills:  Work with other employees, team player, detail and deadline oriented, multitasking, organizational skills, strong verbal and written communication skills, ability to write, interpret, and communicate complex pricing formula’s and concepts, and keen attention to detail

  • Requires prolonged sitting, some bending and stooping.
  • Requires normal range of hearing and vision.
  • Manual dexterity sufficient to operate a computer keyboard and calculator.
  • Occasional lifting up to 25 pounds.
