Basic Purpose: Manage and lead the company's records management and information management program, including creating and implementing policies and procedures, and educating and training employees. Collaborate with IT, Legal, and other key stakeholders.

 

General Supervisory or Leadership Responsibilities:

  • Serve as the subject matter expert in information and records management to ensure compliance with internal policies and legal requirements.
  • Exhibit leadership qualities, mentor others, and make informed decisions in line with industry best practices and company culture.
  • Lead the Information Governance (InfoGov) Task Force.

 

Major Responsibilities:

  • Analyze, coordinate, and oversee enterprise activities involving records retention and disposition, working collaboratively to manage both physical and electronic records.
  • Design, develop, implement, and maintain records and information management policies, processes, schedules, and procedures.
  • Provide expertise and support for electronic content management software or other tools to manage records systematically.
  • Oversee the warehouse archive system and supervise associated vendors, ensuring compliance with company policies for physical storage and destruction of records.
  • Build and maintain effective relationships with business unit leaders, employees, third-party contractors, and InfoGov Task Force members.
  • Develop and implement training for business unit records coordinators and others to achieve compliance with records management principles.
  • Work cross-departmentally to improve legal compliance, reduce information volume and duplication, and protect and preserve records.
  • Coordinate with InfoSec, legal counsel, and InfoGov Task Force members to apply data classification standards and safeguard private and confidential information.
  • Keep the supervisor informed of current initiatives and concerns.
  • Track and measure the execution of the company's records and information management program and communicate progress to stakeholders.
  • Perform other assigned duties with urgency and professionalism.

 

Education and Experience:

  • Bachelor's degree in records management, library science, archives, or a related field, and/or a minimum of four years of experience in records and information management.
  • Professional certification, such as Certified Records Manager (CRM) or Information Governance Professional (IGP), is a plus.
  • Project management experience in records and information management, including change management and implementation strategies.
  • Knowledge of regulated data requirements (e.g., PCI, PII).

 

Skills and Physical Demands:

  • Expertise in records management principles, data classification, maturity models, chain of custody, information lifecycle, retention schedules, and archivist functions.
  • Familiarity with electronic content and records management tools (e.g., Microsoft SharePoint, OpenText, Box) and M365 Purview.
  • Strong organizational, consulting, change, and project management skills.
  • Excellent written and oral communication skills, strong customer service orientation, and ability to communicate ideas in both technical and business terms.
  • Proven analytical and creative problem-solving abilities.
  • Typical physical demands include prolonged sitting, some bending and stooping, occasional moving of equipment or boxes, and lifting up to 50 pounds.
  • Continuous operation of office equipment, such as a computer keyboard, copy machine, printer, and calculator.
  • Ability to perceive sound at normal speaking levels and visual acuity for data analysis and extensive reading.
  • Occasional evening or weekend work and possible infrequent overnight travel.
