BASIC PURPOSE: The primary purpose of this position is to provide clerical, accounts payable and project support to the Facilities Maintenance Fuel Department and is responsible for duties such as: documenting new Facilities Maintenance Service Requests; Clerical duties including but not limited to data entry, correspondence, receptionist, filing, copying, answering phones.
MAJOR RESPONSIBILITIES:
- Provide project, accounts payable and clerical support for the Facilities Maintenance Department
- Clerical duties such as; filing, data entry, and scanning
- Assist with activities involved in the purchase of materials or other equipment, and supplies or services in the timeliest manner and cost-effective manner
- Responsible for department invoice processing and statements
- At times may be called upon to assist in any and all aspects of the Facilities Maintenance Department
- Responsible for incoming calls, support and follow-up for the Facilities Maintenance Service Requests
- Responsible for incoming calls, support and follow-up for vendor AP inquiries
- Other duties as assigned
EDUCATION AND EXPERIENCE:
- Education:
- HS Diploma or equivalent required
- College degree is a plus but is not required
- Experience:
- 1 -2 years office experience
SKILLS AND PHYSICAL DEMANDS:
- Skills:
- Hard skills: Intermediate level of Microsoft Office skills, data entry
- Soft Skills: Able to multi-task; excellent verbal and written communication skills, strong time management skills, strong organization skills, sense of urgency, dependable and the ability to work independently as well as part of a team
- Typical Physical Demands:
- Requires prolonged sitting, some bending and stooping
- Occasional lifting up to 25 pounds
- Manual dexterity sufficient to operate a computer keyboard and calculator
- Requires normal range of hearing and vision
