Corporate Services Assistant

BASIC PURPOSE: Serves as administrative support for the Manager of Corporate Services and the department as a whole. Responsible for payment of department invoices, managing budget, coordinating meetings with vendors, preparing quarterly KPI reports, entering maintenance tickets and preparing departmental reports.

 

MAJOR RESPONSIBILITIES:

  • Monthly monitoring of department budget and expense analysis.
  • Prepare all departmental reports on a monthly and weekly basis.
  • Communicates with internal & external customers, employees, vendors, and other relevant parties.
  • Update departments communication page on theWave.
  • Input contracts into the contract management system and monitor terms to ensure timely renewals. 
  • Input maintenance tickets into database and send email response to employees.
  • Corresponding with and creating tickets for the janitorial staff
  • Scheduling meetings with vendors and preparing meeting room as necessary.
  • Works with the events team to execute plans for various meetings, employee or 3rd party outings both on and off campus.
  • Performs general administrative & organizational duties, including but not limited to, photocopying, faxing, scanning, e-mailing, mailing, data entry, filing and maintaining schedules and calendars.
  • Receives and reviews invoices for accuracy and timely submits for approval.  Processes invoices for timely payment.
  • Update and maintain building access control system.
  • Update and maintain space management software with employee location.
  • Other duties assigned as needed.

 

EDUCATION AND EXPERIENCE:

Education:

  • HS Diploma or equivalent required

Experience:

  • 2-4 years in similar Administrative Assistant position or related work experience

 

SKILLS AND PHYSICAL DEMANDS:

Skills:

  • Hard Skills: Proficient knowledge of Microsoft Office

Soft Skills:

  • Work with other employees, team player, detail and deadline oriented, multitasking, organizational skills, strong verbal and written communication skills, and keen attention to detail

Typical Physical Demands:

  • Requires prolonged sitting, some bending and stooping.
  • Occasional lifting up to 25 pounds.
  • Manual dexterity sufficient to operate a computer keyboard and calculator.
  • Requires normal range of hearing and vision
