Corporate Meeting & Event Coordinator

BASIC PURPOSE: The primary purpose of the Corporate Meeting & Event Coordinator position is to assist in the overall meeting and event process. The duties include research, coordination, running errands, set up, tear down, processing payments, collection of RSVP’s and registrations and other administrative duties.  This position supports and implements the processes necessary to help ensure successful events.

 

MAJOR RESPONSIBILITIES:

  • Assist other team members in planning processes and implementation of corporate events. Duties may include but are not limited to coordinating various tasks with multiple vendors, planning menus, travel arrangements, hotel, meeting rooms, room set-up, activities, and prizes.
  • Attend meetings, documenting notes for further needs.
  • Research venues, activities and various team building ideas.
  • Process and track RSVPs. Manage data on corporate event RSVP system.
  • Help maintain all accounting, records and files related to above events.
  • Process payments for meetings & events.
  • Work on-site and off-site events in support role as necessary. Provide attendee level customer service as needed.
  • Shop for event supplies on-line or locally as needed.
  • Regularly handle confidential information. 
  • Show initiative for enhancements and solutions in processes and customer experiences.
  • Remaining under budget with all costs
  • Maintain a focus on Love’s customer commitments and culture goals in all projects.
  • Extended hours, nights & weekends during peak periods.
  • Other duties assigned as needed.

 

EDUCATION AND EXPERIENCE:

  • Education:
    • HS Diploma or equivalent required.
    • Bachelor’s degree or equivalent work experience
  • Experience:
    • 2 years’ experience in corporate event planning experience preferable

 

      SKILLS AND PHYSICAL DEMANDS:

  • Skills:
    • Hard skills: Microsoft Office, General PC/Internet skills, basic accounting understanding. Cvent.
    • Soft Skills: Self-motivated; team player; shows attention to detail; excellent multi-tasker; ability to manage time effectively; ability to independently solve problems; exhibit a professional demeanor; innovative; ability to show integrity in dealing with confidential information; good written and oral communication skills; accuracy regarding all communications that are sent to associates and documents that are crafted; ability to change gears quickly and efficiently; ability to work under general direction, however, able to prioritize work and organize own time using independent judgment. Be comfortable and productive in high stress situations while maintaining a good attitude.
  • Typical Physical Demands:
    • Requires prolonged sitting, standing, some bending and stooping.
    • Occasional lifting to 25 pounds.
    • Manual dexterity sufficient to operate a computer keyboard and calculator.
    • Requires normal range of hearing and vision.
