Construction Clerk

BASIC PURPOSE: The primary purpose of this position is to communicate with others on the status of permits applied for, verify that all proper permits have been applied for, ensure that construction permits are received and closed at appropriate times, and support the Manager of Construction services.

 

MAJOR RESPONSIBILITIES:

  • Communication with internal and external contacts to ensure appropriate paperwork for payment processing
  • Reconcile payment requests against purchase orders, contracts or quote amounts and approved change orders
  • Data entry to payment system ensuring correct coding
  • Assist with activities involved with project cost reports
  • Maintain updated information in construction project management software solution
  • Responsible for obtaining FCM approvals on monthly progress billings, change orders and project specific invoices and resolve any discrepancies.
  • Notify Constructions Services AP of the need for reimbursement from others for damaged or loss of equipment to include project extra’s.
  • Works with architects, general contractors, and suppliers to address issues on service warranties, architectural plans and equipment specs under the direction of management team members.
  • Monitors correspondence from contract award to job completion.
  • Distribute purchase order report monthly to project managers.
  • Distribute approved drawings from architect to site supervisor for refrigerator specs.
  • Utilize multiple software solutions to aid in project management in coordination with assigned FCMs.
  • Coordinate equipment release, delivery, receipt confirmation and associated documentation
  • Communication with internal and external contacts to confirm the need for, status of application, estimated time of approval, and copies of approved permit documents. 
  • Distribute necessary information such as permit copies and status updates
  • Communication with internal and external contacts to confirm the need for, status of, estimated time of completion of utility infrastructure to new locations. 
  • Maintain updated information in construction project management software solution
  • Distribute necessary information such as utility agreements, application and easement documents, and status updates
  • Prepare documents for execution by corporate signatory authority
  • Review and confirm requests for easements with particular attention paid to them being in line with company’s best interests
  • Providing utility account numbers and ensure that accounts are transferred the week prior to opening
  • Other duties assigned as needed.

 

EDUCATION AND EXPERIENCE:

  • Education:
    • HS Diploma or equivalent required
    • Some College preferred
  • Experience:
    • Some office experience
    • Experience in construction field a plus
    • Past permit related experience preferred

 

SKILLS AND PHYSICAL DEMANDS:

  • Skills:
    • Proficiency in Microsoft Office suite, Projectmates, SAP VIM, PTP, PS
    • Tenacious and professional, ability to tailor message to all types of audiences
    • Ability to adapt quickly to change, willingness and ability to learn from other departments or alone.
    • Good verbal and written communication skills, strong time management skill, strong organizational skill, can-do attitude, sense of urgency, ability to take constructive criticism and strong work ethic.
  • Typical Physical Demands:
    • Requires prolonged sitting, some bending and stooping.
    • Occasional lifting up to 25 pounds.
    • Manual dexterity sufficient to operate a computer keyboard and calculator.
    • Requires normal range of hearing and vision.
